Library Student Workers: Professional Expectations for Student Workers

Expectations

The full time library staff depends heavily on the work of our student workers to make sure that the library is running smoothly. Read through this page so that you are aware of the expectations of professional behavior as laid out by AU and the details added at the library.

AU Student Handbook Highlights

Automated Timekeeping

Student employees are required to punch IN and OUT for each hourly paid student job by logging into paycom.com or by using the PayCom app.  Make sure to select the correct Department and paycode from the dropdown boxes provided. Immediately notify your supervisor through the website or in the app of any errors in this process (i.e. forgot to clock IN or OUT). Review time sheet each week to confirm no errors that need to be corrected and confirm automated time system is correct.

In the library:

must not clock in until you are in the library.

Employment Expectations:

Student employees are expected to follow these basic employment expectations. Departments may communicate additional work-related expectations.

Attendance & Punctuality

Student employees are expected to report to work promptly or call in if unable to report to work due to illness or other emergency. Supervisors attempt to work with student class schedules, academic, and other scheduling demands. However, student jobs are important in each department, and an unplanned absence places a greater burden on others in the department.

In the library:

  • All Students must find a sub for shifts that they miss as well as notify their supervisor of the absence.

  • Students are expected to remain at your workstation until your replacement arrives.

  • DO NOT save personal documents to the computer. Instead, ensure they are saved to your google drive.

Work Activity

Student employees are not to have visitors during assigned work periods with the exception of brief visits from parents and faculty members if authorized by the supervisor. Supervisors may expect student employees to engage in only work-related activities during the work period and refrain from non-work related activities such as personal phone calls, e-mail, and homework assignments.

In the library:

  • Library work comes first.

  • All student workers should carry themselves in a professional manner during their shifts at the library.

  • Homework may be done at the circ desk if there is no library task to work on. Student workers should not be so engrossed in homework that they don’t acknowledge people as they enter the building or approach for help.

  • Phones should not be in constant use during library shift. Phone calls, texts, and messages can wait until after you have clocked out.

  • Stacks and ILL shifts are for library work only.

  • Snacks and a drink are OK, but no full meals or potentially messy food. Use the staff break room for refrigerated items if needed.

Attitude

Students are expected to be interested, enthusiastic, and motivated about their work assignment. Students are expected to be pleasant when performing assigned tasks and be adaptable to changes and/or suggestions as needed.

Dependability

Student employees are expected to be dependable and follow instructions and fulfill work responsibilities. They should consistently strive to complete assigned tasks accurately, completely, and on time.

Integrity

Students are expected to be honest at all times and in regard to all matters. In the course of their work, student employees may have access to or awareness of confidential information. This information should not be discussed outside of work and may not be used in an inappropriate, unethical, or illegal manner. Student employees violating this trust may be terminated.

Professionalism

Departments may establish dress standards appropriate for the location, season, and type of work performed using the Staff Dress Code as a guideline. Student employees may be required to dress or act more formally than in a social or other work setting.

In the Library:

  • Clothes must be clean and neat

  • No offensive or risque shirts

  • No hats

Quality of Work

Following an appropriate training period, student employees are expected to perform their assigned tasks accurately and thoroughly. It is important to recognize errors and problems with tasks and correct them. Students should ask questions and use good judgment. Giving recognition to tasks being done well will be a motivating factor that will maintain or increase good performance.

In the Library:

  • Training in the library is quick, as we need people to start doing the work as quickly as possible. It is likely that events not covered in training will arise. Please ask questions.

Break Periods

A 15-minute rest period is allowed during each four-hour work period. A rest period may be taken at the assigned time or with the approval of the supervisor. A lunch break of at least 30 minutes but no more than one hour is to be taken near the middle of each eight-hour period worked. Supervisors may determine the exact time and length of rest and lunch breaks for convenience of the department. Federal law does not require employers to offer a rest period or lunch break during the work day. Therefore, depending on department circumstances, students may periodically be asked to work without a rest period or lunch break. Concerns regarding rest periods or lunch breaks should be discussed with the assistant director of Human Resources. Employees must use the Web Clock to clock IN or OUT for breaks of 30 minutes or more.

Work Schedule

Newly hired student workers are assigned a schedule at the time of their hire. At the end of each semester, student workers who will be continuing on at the library the following semester will work with their supervisor to create a schedule that works for both the student worker and the library. These schedules will carry through the entire semester, so it is very important to create a schedule that is valid for the entire semester.

You are expected to be in the library and working during all of your shift times. If you are not able to make a shift it is your responsibility to find a substitute for that shift and notify your supervisor about the schedule change. These will be considered excused absences. More than three excused absences in a semester could affect your employment for the next semester. If you fail to get a sub or notify your supervisor the absence will be considered unexcused. Unexcused absences could trigger a job performance review and affect your employment for the next semester.

When breaks are approaching, your supervisor will notify you of how to treat those hours. (e.g. : regular hours will be in place until Friday at 5:00pm; regular hours will resume on Tuesday at 7:30am) You are expected to be at the library for all your shifts during regular hours. If there are hours available to work during the break, your supervisor will let you know and inquire about availability/interest in filling those hours.

Starting two weeks before finals your supervisor will begin to plan the schedule for finals week. Student workers will be given 2 or 3 days to communicate when they will not be available due to final exams and/or leaving campus. Once all student workers have been given a chance to communicate time they will be unavailable your supervisor will let you know and inquire about availability/interest in filling any open hours.
